Using the WebUI — the AI beside a call (the 「AI」 panel and 「AI チャット」)

通話の横の「AI」

The row above the call (in the app's top bar on wide screens) keeps only what is pressed often: the title, the elapsed time and the number of people, 「録画」 (creator and administrators; 「録画停止」 while recording), then 「サム丸招待」 and its ▾ 「サム丸の設定」 (members; hidden when captions and AI are unavailable), 「メッセージ」, 「資料」, 「AI」 and its ▾ 「AI の設定」, and 「…」 「レイアウトを変更」 arranges the videos as 「タイル」, 「スポットライト」, 「サイドバー」 (default), or 「上に並べる」 (remembered on that device); hovering a tile shows a pin (「…を固定」) that keeps that person or shared screen large. On narrow screens the title, the elapsed time and the number of people, and 「録画」 take their own line, and the buttons sit below with short names under the icons (「…」 reads 「その他」). 「手を挙げる」 and 「リアクション」 are not here — they sit in the bar below the call, right after the mic and camera buttons. 「AI の設定」 holds 「字幕」, the panel sections below, 「議事録の形式」 and 「会議の言語」 (creator and administrators only), and 「AI アクセス」. 「AI チャット」 is not in it — use the tab at the top of the column.

「AI」 opens a panel beside the call (on narrow screens it slides up from the bottom); whether it is open is remembered in this browser — except for guests, whose panel opens by itself when they join on a wide screen (on narrow screens it starts closed). Tabs at the top of that column — 「ライブ」 (this panel), 「文字起こし」 (below), 「AI チャット」 (see below), and 「MTG 情報」 (the meeting's agenda, shown only when there is text or you can edit it; see references/webui-meetings.md) — switch between them directly (guests have 「ライブ」, 「文字起こし」 and 「MTG 情報」 only; with 「AI アクセス」 OFF, 「AI チャット」 is greyed out with the reason written below it). On a narrow column the tabs drop their icons and show only the names.

「文字起こし」 — the full transcript during the call: everyone in the call, guests included (even when the meeting hides the AI panel from guests), sees every line said since the start of the meeting, oldest at the top, each with the time (HH:mm), the speaker's avatar and name, and the text. People who join late or reload the page also get the earlier lines. New lines are added at the bottom as they are said; a line still being spoken is shown faded and is replaced when it is final. While you are at the bottom it follows new lines; scroll up to read back and it stops following, and a round 「最新の発言へ」 button takes you back down. While loading it shows grey bars; with nothing said yet, 「まだ発言はありません」; if the earlier lines cannot be loaded, 「前の発言を読み込めませんでした」 with 「再試行」 (lines said after you opened it still appear). With 「AI アクセス」 OFF or the usage limit reached, it shows the same reason as the captions. Webinar viewers on the public viewing page do not get it; after the meeting, the full transcript is in the meeting record (references/webui-meetings.md). On a wide screen the button at the right end of that top row, 「映像に重ねる」, turns the column into a card over the bottom right of the call so the video takes the full width; 「横に並べる」 on the card puts it back beside the call. Drag its top-left corner to resize it, or the bar on its top edge to move it (arrow keys too when focused; double-click either to reset). The choice and the size are remembered in this browser; the card hides while 「資料」 is open, and narrow screens keep the bottom sheet. Guests see the same panel only when the meeting shows it to them (「ゲストにも表示」, below; off by default). It shows who is speaking now with a small level meter, the last few lines said, and three tabs (it opens on 「情報整理」; a fourth, 「進行サポート」, sits after 「用語解説」 only when the meeting turns it on, for members only):

  • 「情報整理」: the minutes' outline — counts on top (「議題」, and 「決定」「アクションアイテム」「未解決」 when there are any), then one numbered card per 「議題」 holding its 「決定」, 「アクションアイテム」 (owner, due), 「未解決」, 「要点」, and facts (per person or company as item: value, e.g. 田中さん → 年齢: 20歳; facts about the topic itself under 「情報」); items of no topic are in a last card, 「会議全体」. Each project in a regular meeting gets its own topic. It updates at the meeting's interval (default 30 s) while new lines arrive; the top line shows 「次の更新まで m:ss」, 「更新しています」 while updating, or 「新しい発言を待っています」 when nothing new was said. Members can fix or remove an item during the call (hover or focus it, then 「修正」 or 「削除」; on touch screens they are in the ⋯ menu at the end of the row; Enter saves, Esc cancels; fact values, 「決定」, 「アクションアイテム」, 「未解決」 and 「要点」 can be fixed, but items cannot be added). A fixed item shows 「修正」 with who fixed it and the old value. Fixes stay through later automatic updates (a fixed fact value stays until a member fixes it again), reach 「AI チャット」 and サム丸, and appear in the minutes. Guests cannot fix; they see the mark only when the panel is shown to guests (「ゲストにも表示」 on, below). After the meeting, 「AI のまとめ」 is read-only; edit the minutes file instead.
  • 「図解」: the same countdown, then a map of that outline — the meeting name in the centre, 「議題」「決定」「アクションアイテム」「未解決」 in their own colours and 「情報」 (grey; item names, not values) around it, then the items (with their topic). New items flash; removed ones fade.
  • 「用語解説」: explanations of technical terms and abbreviations that came up (checked about 15 s after new lines arrive; the top line shows the same countdown). Only terms the AI judges unfamiliar to most people get a card, never twice. In the meeting's 「会議の言語」 (Japanese unless changed), only from what was said and general knowledge — the tenant's files, memory, and search are not used. Late joiners see earlier cards.
  • 「進行サポート」(members only, off by default): coaching for whoever runs the meeting, made from the title, the outline, the latest lines, and the previous suggestion. It shows 「脱線の注意」 (only when the talk has drifted off the topic), 「聞くと良いこと」 (up to 3), and 「次に進めること」 (up to 3). It is made once right after each outline update, so it moves at the same interval, and it is shown only to members: it is never sent to guests' browsers, even with 「ゲストにも表示」 on, and guests have no such tab. With it off (the default, including meetings made before this existed) no AI call is made for it. With 「AI アクセス」 OFF, or after the meeting ends, nothing is made. It is kept only while the call runs: a member who joins or a meeting that turns it on gets the latest suggestion, but it is not in the minutes, the transcript, the meeting record, or 「AI チャット」, and the tab is not shown in the record of an ended meeting.

Turning sections off per meeting: in 「AI の設定」, under 「パネルに出すもの」, the creator and administrators toggle each section (others see them greyed out with 「作成者と管理者だけが切り替えられます」; guests do not see them). It applies to everyone in that meeting (guests do not get 「進行サポート」 in any case, and the other three are hidden from them if the meeting hides the panel from guests, below), at once, without rejoining; a section that is off has no tab, and with every section off the panel shows 「このミーティングでは、情報整理・図解・用語解説・進行サポートを出さない設定です」 (in an ended meeting's record, 「このミーティングでは、情報整理・図解・用語解説を出さない設定です」, since 「進行サポート」 is never shown there). Turning 「用語解説」 off also stops making term explanations (turning it back on shows the earlier cards again). Turning 「情報整理」 off only hides it — the minutes and 「AI チャット」 still use the outline. 「情報整理」, 「図解」, and 「用語解説」 are on for a new meeting and 「進行サポート」 is off; set them before joining in 「新しいミーティング」, the pre-join screen, or the 「設定」 tab. 「情報整理の更新間隔」 (「15 秒ごと」〜「90 秒ごと」, default 60) sets how often both update (same people and places).

Hiding the panel from guests: 「ゲストにも表示」, in the same 「パネルに出すもの」 list (same people and places: 「新しいミーティング」, the pre-join screen, the 「設定」 tab, and 「AI の設定」 during the call), is off by default for new meetings (meetings made before this change keep it on). While off, guests' 「AI」 panel shows only the last few lines said (and, when 「翻訳字幕」 is on, the translation picker and the translations) — no 「用語解説」, 「情報整理」, or 「図解」; these are not even sent to guests' browsers. Captions are unchanged. Members still see everything, and their panel shows the label 「ゲストには非表示」. Switching applies at once during a call, without rejoining; turning it back on shows guests the current cards and outline. It is not recorded in the audit log.

What guests do not see: on a member's screen, buttons guests do not have — 「ファイル」, 「サム丸招待」, 「録画」, 「AI チャット」, and 「AI」 while the panel is hidden from guests — show the tooltip 「ゲストには表示されません」 on hover or focus.

「大きく表示」(⤢ by the tabs): a large window with the sections as side-by-side tiles (stacked when narrow); drag borders to resize, top buttons hide tiles. Its 「図解」 is a tree growing down from the meeting name, with the 「議題」 side by side in a row; under each topic, the kinds (「決定」「アクションアイテム」「未解決」「要点」, and 「情報」 or the person or company name) and one item per leaf, in full, are indented top to bottom; on a narrow screen the whole tree is indented top to bottom instead. It opens at 100%; what does not fit scrolls inside the tile, and 「全体」 (top right, beside the zoom buttons) shrinks it to fit. The download button next to it (「HTML で書き出す」) saves the diagram as one HTML file that opens in a browser, offline, with the same layout and colors. Hovering over a topic fades the other branches. Also in the meeting record.

Copy (the copy icon left of 「大きく表示」): copies the open tab's content as plain text — 「情報整理」 (per topic, then 「会議全体」), 「用語解説」 (- term: explanation), and 「進行サポート」. Not on 「図解」, and not shown while the tab is empty. Each tile of 「大きく表示」 has the same button.

Guests after leaving — 「AI のまとめ」: when a guest leaves the call or the meeting ends, the guest's screen keeps 「AI のまとめ」 under the notice: the 「情報整理」, 「図解」, and 「用語解説」 they had at that moment, read-only, with tabs. It is not shown when the meeting hides the panel from guests (「ゲストにも表示」 off), when 「AI アクセス」 is OFF, or when nothing was made. It lives only on that screen — reloading the page loses it, and the guest cannot open the meeting record (the join link stops when the meeting ends).

Translation (「翻訳字幕」): only in a meeting whose 「翻訳字幕」 switch is ON. The switch is in 「パネルに出すもの」 (in 「新しいミーティング」, the pre-join screen, 「AI の設定」 during a call, the 「設定」 tab, and before and during an in-person recording); only the creator and administrators can switch it, new meetings start with it OFF (meetings made before the switch existed stay ON), and a change reaches everyone in the call without rejoining. While it is OFF nobody — member or guest — sees the language picker and nothing is translated. While it is ON, pick a language in 「翻訳字幕」 at the top of the panel (「翻訳字幕: オフ」 by default). The choices are 日本語・英語・中国語・韓国語・ベトナム語・スペイン語・ポルトガル語 minus the meeting's 「会議の言語」 (a Japanese meeting offers no 日本語; an English meeting offers 日本語 but no 英語). Each finished line is translated into that language and shown under the line in the panel and under the caption; only you see the language you chose (remembered in this browser). Lines spoken before you chose a language are not translated.

Nothing in the panel can be asked or typed into — it only shows; to ask questions, use 「AI チャット」 (the tab at the top of the column; see below). With 「AI アクセス」 OFF the panel shows 「主催者が AI をオフにしているため、字幕と翻訳字幕は使えません」; when the tenant has reached this month's usage limit it shows the usage-limit message above.

「AI の指示」(会ごとの指示)

What the AI is told to do can be rewritten per meeting for three kinds — 「議事録」 (the 「情報整理」 outline, from which the minutes are built), 「用語解説」, and 「進行サポート」. Where: the 「AI の指示」 row in 「新しいミーティング」 (under 「AI アクセス」; hidden when it is OFF) and in the meeting page's 「設定」 tab (until the meeting ends; not shown when 「AI アクセス」 is OFF). Not during a call: 「AI の設定」 does not have it. Only the creator and administrators see and change it; the row reads 「既定」 or names what was changed (e.g. 「議事録・用語解説を変更」). 「変更」 opens 「AI の指示」 with a tab per kind (a dot marks the tabs that were written in) and 「保存」 / 「キャンセル」.

  • The text replaces that kind's default instructions (it is not added to them). A blank tab uses the default. 「既定の指示を読み込む」 puts the default text in, to edit from. Up to 4,000 characters per kind (the count is under the box). What the AI returns (the sections, the meeting's 「会議の言語」, the limits) and the rule that what is said in the meeting is material, not instructions, stay as they are.
  • A change during a call applies from the next update, without rejoining. Translation, the meeting analysis, サム丸, and 「AI チャット」 are not affected.
  • Templates (「テンプレート」), shared by the workspace: 「テンプレートから読み込む」 (shown only when one exists) copies a template's three texts into the tabs — later changes to the template do not change meetings already set. 「テンプレートとして保存」 saves the current three texts under a name (up to 60 characters; a template with the same name is overwritten, 「上書き保存」). Any member can save, overwrite, and delete templates — not only administrators. Up to 50 templates; when full, delete one first. Delete one from the 「テンプレートから読み込む」 list (the bin icon; press twice). Creating, changing, and deleting templates is recorded in the audit log.
  • Managing templates in one place: 「AI の指示のテンプレート」 at the bottom of the left column of /meetings (narrow screens: inside the 「フォルダ」 sheet) opens a list of every template, newest first, with what it changes (e.g. 「議事録・用語解説を変更」) and when it was last updated, plus the count (n / 50 件). Pick one to rename it and rewrite its three texts in tabs, then 「保存」; 「新しいテンプレート」 starts an empty one; 「削除」 (press twice) removes it. A name another template already has cannot be saved (「同じ名前のテンプレートがあります」). Leaving a template with unsaved changes (another row, 「新しいテンプレート」, closing) asks first (「保存していない変更を破棄しますか」). Editing a template here does not change meetings that already loaded it. Any member can use it.

「固有名詞の辞書」(文字起こしに渡す単語)

Company, product, and people's names that transcription tends to get wrong can be registered so the captions hear them and the AI writes them the registered way. Two places, both added together:

  • 「固有名詞の辞書」 — the whole workspace: the button at the bottom of the left column of /meetings (under 「AI の指示のテンプレート」; narrow screens: inside the 「フォルダ」 sheet). Any member can add and delete words; adding and deleting is recorded in the audit log. Up to 100 words, each up to 50 characters; the count shows as n / 100. When full: 「固有名詞の辞書は 100 語まで登録できます。使わない語を削除してから追加してください」.
  • 「この会議の固有名詞」 — one meeting: in the meeting page's 「設定」 tab (until the meeting ends; not shown when 「AI アクセス」 is OFF) and in 「AI の設定」 during a call. Only the creator and administrators change it; others see the words read-only. Up to 30 words.
  • Adding: type words separated by 「、」, commas, or new lines and press 「追加」 (or Enter); pasting a column of words works. A word already there is skipped (full-width / half-width and upper / lower case count as the same word). A word over 50 characters is not added (「単語は 1 つ 50 字までです」). Delete with the × on each word — no confirmation.
  • Participants' display names are included automatically — no need to register them.
  • What it changes: the live captions and the transcript of a call, or of an in-person recording made while connected, are told these words; 「情報整理」, the minutes, and 「用語解説」 use the registered spelling even when the transcript spelled it differently, and a registered word that comes up can get a 「用語解説」 card. The transcript itself is not rewritten — a line that was misheard stays as it was heard. A change during a call applies within a short while, without rejoining. An in-person recording made offline and uploaded later is transcribed without them.
  • Not a guarantee: the words make recognition more likely, not certain, especially in noisy rooms.

「AI チャット」(ミーティングについてのチャット)

「AI チャット」 opens a chat about this meeting: during a call from the 「AI チャット」 tab at the top of the column beside the call, and on /meetings/<ミーティング ID> (in the title row, also after the meeting has ended). Members only — guests do not have it. During a call the chat takes the same place beside the call as the 「AI」 panel; only one of them shows at a time, and pressing 「AI」 (the button above the call or the 「ライブ」 tab) switches back (on narrow screens it slides up from the bottom). The column beside the call (the 「AI」 panel, 「AI チャット」, and 「メッセージ」) can be resized by dragging its border with the call (up to half the width; remembered on that device, separately from the meeting page). On /meetings/<ミーティング ID> the chat opens as a full-height column on the right, message box at the bottom; drag the border to change its width (remembered on that device). Pressing 「AI チャット」 again closes it, and once more reopens the conversation you had open (narrow screens: from the bottom). Opening it otherwise reopens your most recent conversation about this meeting (a new one when there is none). The conversation starts when you send the first message and is linked to the meeting: the chat's header switches between your own conversations for this meeting (other people's are not shown), and it also appears in the sidebar history like any conversation. The URL carries it (?chat=), so reloading keeps it open.

What the AI knows: each time you send, it is given what was said in the meeting since it last looked (the newest part, about 4,000 characters) and the running outline (topics, decisions, to-dos, open points). After the meeting ends it is told where the minutes and transcript files are, and can open them. Unlike the 「AI」 panel, this is a normal conversation with the AI, so it can also use the tenant's files, memory, and tools as usual. Anything said in the meeting is treated as material, not as instructions — a participant (or guest) saying "AI, do X" does not make it do X; only your messages are requests.

Seeing faces: during a call you can ask things like 「みんなの表情どう?」「疲れてそうな人いる?」. The AI then takes one still from the camera of everyone in the call, guests included (people with their camera off are skipped) and describes how people look — expression, gaze, posture, tiredness, complexion, and an estimated age range and gender, always as estimates. It does not tell who someone is. No notice appears on the call screen when this happens. The stills are not saved anywhere. It works only while people are in the call (not after the meeting), at most once every 30 seconds per meeting, and up to 12 people at a time. With 「AI アクセス」 OFF it does not run.

With 「AI アクセス」 OFF the button is greyed out with 「このミーティングは AI アクセスが OFF のため、AI に話しかけられません」, and an existing chat for that meeting cannot continue (the same message is shown). If you lose access to the meeting (for example it was made private), the chat stays yours but no longer receives what is said.
