「ミーティング」 — /meetings
Video meetings inside the tenant: video, audio, screen sharing, recording (sidebar 「ワークスペース」), and face-to-face meetings recorded on a device, even offline. 「新しいミーティング」 takes a 「タイトル」, 「公開範囲」 (「テナント全体」 / 「グループ」 / 「自分のみ」 — not 「外部公開」 at creation; change it later with 「共有」, see below), an optional 「開始」 (once it is set, 「終了」 appears filled with one hour later and moves with 「開始」, plus 「カレンダーに予定を追加」 — on by default — and a guest picker; with it on, creation also adds a linked calendar event (if that fails, the meeting is still created and a message says so); with it off, only the start time is kept and 「終了」 is not checked), an optional 「説明(任意)」 (the agenda or notes for the meeting, in Markdown, up to 5000 characters), 「議事録の形式」 (打ち合わせ・定例会議・ブレスト・振り返り・勉強会・採用面接・1on1・問い合わせ対応・雑談・その他; default その他) and 「会議の言語」 (日本語・英語・中国語・韓国語・ベトナム語・スペイン語・ポルトガル語; default 日本語), and 「AI の指示」 (see references/webui-meetings-ai.md) under 「AI アクセス」 (hidden when it is OFF; a suggestion from the title fills fields you have not touched, marked 「タイトルから提案」), and 「カメラをオンにして参加する」 (off by default). Camera required: with that switch on, everyone — guests and the creator too — must have the camera on: 「参加」 stays greyed out with 「このミーティングはカメラをオンにして参加します」 until the camera is on, and turning the camera off during the call turns it back on with 「このミーティングではカメラをオフにできません」; if the camera cannot be turned on (unplugged, permission withdrawn), the call shows 「カメラをオンにできません。カメラの接続と許可を確認してください」 with 「もう一度試す」 and you stay in the call. A person with no camera cannot join such a meeting. The meeting shows 「カメラ必須」 in the list and on its page. Only the creator and administrators can switch it on the meeting page's 「設定」 tab while it is open (recorded in the audit log as 「ミーティングの設定の変更」); people already in the call keep the setting they joined with, and the change applies from the next join. Face-to-face meetings do not have it. 「説明」 (agenda): the text written in 「説明(任意)」 shows in a 「説明」 section under the header of /meetings/<ミーティング ID>, drawn as Markdown (raw HTML is not rendered). Only the creator and administrators can write or change it — 「説明を書く」 when it is empty, 「編集」 otherwise, also after the meeting has ended and for face-to-face meetings (their creation screens have no field; write it afterwards on the meeting page). Everyone else sees the section only when there is text. Each change that alters the text is recorded in the audit log as 「ミーティングの内容の変更」 (the text itself is not logged). The calendar event's 「説明」 is not copied into it. Guests see it too: on the check screen before entering, the text sits under the title in a scrolling box (members and guests), and in the call the column beside the video has a 「MTG 情報」 tab (members: 「ライブ」 / 「AI チャット」 / 「MTG 情報」; guests: 「ライブ」 / 「MTG 情報」) that appears only when there is text or you can edit it; the creator and administrators edit it right there. A change made during the call reaches everyone in the call at once; a screen without its live connection catches up within 30 seconds. The AI does not read it: minutes, the 「AI」 panel, 「AI チャット」, the coach, and サム丸 are not given the text. A meeting you cannot see is hidden, even by URL. On /meetings/<ミーティング ID> of an open meeting, a dark panel under the title shows who is in the call now and 「参加する」, which opens a check screen before entering (guests see it too): your own camera preview with round mic and camera buttons, pickers for 「マイク」 / 「スピーカー」 / 「カメラ」 (no speaker picker in Safari/Firefox), the title, the scheduled time, who is already in the call (initials and 「山田太郎さん が参加中」, 「山田太郎さん、佐藤花子さん ほか 2 人が参加中」 from four people, or 「まだ誰も参加していません」; refreshed every 10 seconds; guests still waiting for admission are not listed), and 「参加」, which enters the call. The check screen opens the moment 「参加する」 is pressed (「カメラを起動しています」 until the camera starts), and 「参加」 can be pressed right away: while the call is still connecting it shows 「接続しています…」 and enters by itself once ready; the effects button works once connected. 「詳細へ戻る」 turns the camera and mic off. In the call, the title, the elapsed time, the number of people, 「録画」, and the tool buttons sit in the app's top bar (on narrow screens the tool buttons stay in a row under it), and the video takes the rest of the screen. Talking while muted: after you have turned the mic on once in the call, speaking while muted shows 「ミュート中です。話すときはマイクをオンにしてください」 above the call controls, with 「ミュートを解除」 and a close button (closing keeps it away for 30 seconds); the sound is checked on your own device only and is not sent. One join link (「参加リンク」, /m/<参加リンク>) serves members and people outside the tenant alike. A member who is signed in and can open the meeting goes straight to the member's join screen (/meetings/<ミーティング ID>) without the guest waiting room; if the meeting belongs to another workspace they belong to, the page says 「<ワークスペース名>のメンバーとしてサインインしています。ワークスペースを切り替えると、メンバーとして参加できます。」 with 「メンバーとして参加する」, which switches the workspace and joins (the guest form below still works). People outside the tenant (and anyone not signed in) enter a name, press 「入室をリクエストする」, and get nothing of the call until someone admits them; the page warns the meeting may be recorded. Only the creator and administrators manage the join link (the 「共有」 button next to the meeting title, top section 「参加リンク」 while the meeting is open and not face-to-face — the bottom section is 「記録の公開範囲」: 「リンクをコピー」 / 「再発行する」 / 「無効にする」, plus a QR code of the link with 「PNG で保存」; 「社外の人に見える画面」 previews the guest's screens before and in the call (no creator name; in a webinar, the viewer's 「視聴前」 / 「視聴中」); the same panel opens from 「参加リンク」 on the check screen before joining and from 「…」 (「その他の操作」) → 「参加リンク」 above the call; others see 「参加リンクは作成者と管理者だけが操作できます」; the join link expires 30 days after the last call — or after the scheduled time or the last 「再発行する」 if later — with 「<日付>まで使用できます(最後の通話から 30 日)」 under it, and once expired 「期限が切れています。再発行すると使用できます」 until 「再発行する」 is pressed; a guest opening an expired link sees 「このリンクは使えません」, the same as for a disabled one), start and stop recording (「録画」 / 「録画停止」; for the first few seconds the button reads 「録画を準備中」 and cannot be pressed — recording starts when that ends; files are named 「<題名>録画<日付>_<時刻>.mp4」), delete recordings, remove one participant (「…」 above the call → 「退出させる…」; the person sees 「主催者の操作で退出しました。」, a guest who comes back waits for admission again, a member can rejoin; the creator cannot be removed; recorded in the audit log as 「参加者の退出」), and end the meeting (「…」 in the title row → 「ミーティングを終了する」 — everyone is removed, the join link stops, no rejoining); others see them greyed out. If creation shows 「ミーティングは作成しましたが、参加リンクを準備できませんでした。…」, the meeting exists: open it, press 「共有」, and press 「再発行する」 under 「参加リンク」. Recordings become files with the meeting's visibility; a row still saving shows 「保存中」 and cannot be deleted. When everyone (members and guests) has left, recording stops on its own and is saved; rejoining does not restart it. Leaving does not end the meeting: by the title the page shows 「開催中」, 「全員退出」 with 「… に全員が退出」 (rejoinable; 「ミーティングを終了する」 closes it), or 「終了」 with 「… に終了」. Drawing on a shared screen: the sharer gets 「描く」 and 「描画を許可」 (tick participants to let them draw too; nobody else sees drawing controls). Tools: 「ペン」, 「消えるインク」 (gone after ~3 s), 「消しゴム」, five colours, 「すべてクリア」; lines show for everyone at the same spot and vanish when sharing stops. Whiteboard: 「その他」 → 「ホワイトボード」; members open and close it there, everyone (guests too) can draw. Drawings are not saved and are not recorded; no shapes, text, or sticky notes. Before setup the screen shows 「ミーティングは管理者が設定すると使えます」
整理 — folders, smart views, labels, trash
/meetings has an organizing column on the left and the list on the right (on narrow screens the left column opens from 「フォルダ」 as the 「ミーティングの整理」 sheet). Left: 「すべて」 / 「未分類」, the smart views 「最近開いた」 / 「お気に入り」 / 「自分が作成」 (press again to clear), the folder tree shared by the whole tenant, and 「ゴミ箱」. Right: 「名前で検索」 (matches titles), sort by 「作成日時」 / 「開始日時」 (「最近開いた」 is always in the order you opened them), live meetings pinned on top as 「開催中」 cards (elapsed time; 「参加する」 goes straight to the pre-join check), the table (star, name, status, visibility, creator, date), and 「さらに読み込む」 for more. Anyone can create, rename, move, and delete folders (「新しいフォルダ」, and 「新しいサブフォルダ」 from a folder's 「…」). Deleting a folder deletes no meeting: its meetings and subfolders move up one level. The star adds to or removes from 「お気に入り」 (only you see it). A row's 「…」 has 「複製」 (calls and webinars only) / 「フォルダを移動」 / 「名前を変更」 / 「ゴミ箱へ移動」. Row checkboxes select several for 「まとめて移動」 / 「まとめてゴミ箱へ」 (the trash takes only the ones you may trash; the rest stay selected). Anyone who can see a meeting can move it to a folder; renaming, moving to the trash, restoring, and permanently deleting are for the creator and administrators only. A meeting linked to a calendar event takes the event with it: renaming it renames the event, and moving it to the trash deletes the event (also from Google Calendar / Outlook when it was exported; restoring does not bring the event back). On a meeting's own page, the pencil (「名前を変更」) edits the title in place; the title row's 「…」 (「その他の操作」) holds 「複製」, 「フォルダを移動」, 「予定日時を変更」, 「ゴミ箱へ移動」, and (while open) 「ミーティングを終了する」. 「予定日時を変更」 (open calls and webinars; creator and admins) changes or removes (「予定を外す」) the start time; a linked calendar event stays. 「複製」 opens 「ミーティングを複製」, the creation form filled with this meeting's settings — kind, title (unchanged, no 「のコピー」), visibility (a 「外部公開」 meeting starts as 「テナント全体」), group, 「説明」, 「AI アクセス」 and the panels, 「議事録の形式」 / 「会議の言語」 (not re-suggested from the title), 「AI の指示」 (only when you can manage the meeting), 「会議の分析」, and 「カメラをオンにして参加する」. When the meeting has materials, 「資料も登録する」 (on by default, listing the file names) adds the same materials to the new meeting — files you cannot open are skipped, with a count. The start time is not copied, nor are recordings, minutes, participants, labels, or the folder; 「作成する」 makes a new meeting and opens its page. Anyone who can see the meeting can duplicate it; the new one is theirs.
Labels: on a meeting's own page, under the status tags and above the 「説明」, 「ラベルを追加」 picks a label or types a new one; × on a chip removes it. The labels are the same ones as in 「ファイル」 (one list per workspace). Only the creator and administrators can change them; others see the chips greyed out with the reason. When the meeting saves minutes, a transcript, or a recording as a new file, its labels are put on that file too, so 「ファイル」 can be filtered by them. This happens once, when the file is created: later label changes on the meeting do not reach existing files, and a label removed from a file does not come back. The meeting list cannot be filtered by label.
Meetings in the trash are kept for 30 days and then permanently deleted automatically. 「復元」 brings one back (the join link does not come back — issue a new one; if its folder is gone it returns to 「未分類」). 「完全に削除」 cannot be undone. Recording, minutes, and transcript files stay in 「ファイル」 by default; turning on 「録画・議事録・文字起こしのファイルも削除する」 in the 「完全に削除」 confirmation moves them to the file trash too (restorable from there); the 「ゴミ箱へ移動」 confirmation likewise offers 「録画・議事録・文字起こしのファイルもゴミ箱へ移す」 (off by default), and restoring the meeting brings those files back (files someone moved to the file trash separately stay there). For such a meeting, 「完全に削除」 has no option and says the files are already in the file trash. The automatic deletion after 30 days always keeps the files. Check trash rows to restore or 完全に削除 several; 「ゴミ箱を空にする」 deletes all. A meeting whose minutes had nothing to record (no decisions, action items, or topics) gets no minutes file — only the transcript. A meeting cannot be moved to the trash or permanently deleted while a recording is in progress or saving. Moving a meeting that is still open to the trash ends the call and stops the join link. A meeting in the trash cannot be opened, joined, or reached by its join link.
Search (⌘K / Ctrl+K) has a 「ミーティング」 kind. It matches titles only, not recordings or what was said.
字幕と「AI アクセス」
Live captions: captions are off by default; turn on 「字幕」 in 「AI の設定」 (the ▾ next to 「AI」 above the call) to show what people say as text at the bottom of the call, with the speaker's name (the last 2 lines; text still being spoken is lighter and is replaced when the sentence is final). Guests see captions too. Each person's own browser sends only their own microphone audio to Google (Gemini) for transcription — nothing is sent while their microphone is muted or while 「AI アクセス」 is OFF. Speech is transcribed in the meeting language (「会議の言語」, 日本語 by default); to read it in another language, choose a language in the 「AI」 panel (see below) and the translation appears under each finished caption line. 「字幕」 only hides or shows captions on your own screen (remembered in this browser) — it does not stop transcription for others. Final lines are kept as the meeting's transcript in the tenant, and minutes and a transcript file are made from them after the meeting. When a meeting reaches its limit the call shows 「このミーティングの文字起こしの上限に達しました」. If the connection for captions and AI drops (for example during an app update), it reconnects by itself; if it is still not back after about 10 seconds, the call shows 「字幕と AI に再接続しています」 until it is. Your finished lines from that gap are sent again once it reconnects, so the transcript does not lose them.
「AI アクセス」 per meeting: a switch in 「新しいミーティング」 (on by default), in the meeting page's 「設定」 tab (also after it ends), and in 「AI の設定」. Only the creator and administrators can switch it (others see 「作成者と管理者だけが切り替えられます」); each change is recorded in the audit log. Turning it OFF stops captions, transcription, saving the transcript, the 「AI」 panel, 「AI チャット」, and making minutes for that meeting, and the meeting's recordings, minutes, and transcript files can no longer be read by the AI (people can still open them); the meeting shows 「AI アクセス OFF」. A transcript, minutes, and transcript file made before it was turned off stay. Switching during a call makes everyone in the call rejoin automatically, with a few seconds' break; a guest may wait for admission again. With it OFF, 「字幕」 is greyed out with 「主催者が AI をオフにしているため、字幕と翻訳字幕は使えません」 under it.
Usage limit: if the tenant has reached this month's usage limit, people join without captions and see 「今月の利用上限に達しているため、字幕と AI は使えません」; if captions could not be prepared, 「字幕」 shows 「字幕と AI を準備できなかったため、字幕は使えません」. The call itself still works. If the meeting's creator hits their usage limit (クレジット) mid-meeting, captions and the AI panels stop with 「利用上限に達したため、字幕と AI を停止しています。…」 and resume within about a minute after credit is added or the limit raised; recordings and in-person audio are still saved. A meeting that ends with the creator still over the limit gets no minutes until the creator makes them (see references/webui-meetings-records.md).
議事録と文字起こし(会議記録)
Minutes are made automatically」 next to the title on /meetings/<ミーティング ID> opens 「ミーティングを共有」** — the meeting's 「公開範囲」 (「自分のみ」 / 「グループ」 / 「テナント全体」 / 「外部公開」) and the URL to hand over. Only the creator and administrators can change it (others see it read-only, with the reason); the meeting's recording, minutes, and transcript files change to the same visibility (「テナント全体」 when the meeting is 「外部公開」 — outsiders see only the chosen kinds through the public URL), even a file whose visibility was changed by hand in 「ファイル」. If some files could not be changed it shows 「一部のファイルの公開範囲を変えられませんでした。もう一度お試しください」 — pressing again finishes it. Administrators cannot see a 「自分のみ」 meeting of someone else, so after making it 「自分のみ」 only the creator can change it back. Making a meeting linked to a calendar event 「自分のみ」 means the event's attendees can no longer open it. Recorded in the audit log as 「ミーティングの公開範囲の変更」.
For a group or the whole tenant, hand over the meeting's usual URL (/meetings/<ミーティング ID>). 「外部公開」 gives one public URL (/ms/<公開 ID>) that opens without sign-in; under it, 「公開 URL で見せる中身」 picks 「議事録」 (default) / 「文字起こし」 / 「録画」 (at least one; the evaluation is never shared). Members may choose 「外部公開」 only for meetings they created. The public URL always shows the current record — minutes rewritten later and recordings added later appear without a new URL; while the meeting is still open, the transcript and recordings keep growing there too. The shared page shows the title and date and one tab per chosen kind (the minutes formatted, the transcript as text, recordings playable), each with 「ダウンロード」; it shows no participants, creator, or evaluation. Leaving 「外部公開」 kills the URL (choosing it again makes a new one); it also stops while the meeting is in the trash and is removed when the meeting is permanently deleted; a URL that cannot be opened shows 「このリンクは開けません」. The join link (/m/<参加リンク>) is different: it is only for joining the call and stops when the meeting ends.
「サム丸招待」(声で答える AI の参加者)
The AI participant 「サム丸」 — calling it, talking to it, 「サム丸に話す」, its settings, and guests — is in references/webui-meetings-agent.md.
チャットから — asking the AI to set up, end, find, or read a meeting
In a chat, you can ask the AI to set up a video meeting (「明日 10 時に定例のミーティングを立てて、ゲストのリンクもちょうだい」): it takes a title, an optional time, an optional 「説明」, and the visibility (「テナント全体」 by default, or 「グループ」 / 「自分のみ」), asks for approval with a card first, and answers with the meeting's URL and the join link (it works for members and guests alike). It can end a meeting for everyone (also after an approval card; only the creator and administrators), find meetings by title or in 「最近開いた」 / 「お気に入り」 / 「自分が作成」, and read one: its status and times, participants, recordings, and the minutes and transcript (not the 「説明」, which the AI does not read). Meetings with 「AI アクセス」 OFF do not appear when the AI looks for meetings and cannot be read or ended this way. Webinars, face-to-face meetings, reissuing or disabling the join link, and changing the visibility stay on the screen.
